To devise effective design solutions, findings were distilled into personas. These archetypes represented various user needs, behaviors, and expectations. A design studio session was conducted, serving as a collaborative platform that expedited the design ideation phase. This method became a convergence point for ideas from various cross-functional teams.
Visma's current need analysis system, foundational in intent, had revealed operational inefficiencies. What was conceived as a seamless hiring procedure has evolved into a cumbersome task marked by extensive email correspondences and time-consuming validations. This inefficacy impedes quick hiring decisions and places undue pressure on their managerial team, signaling a pressing need for reevaluation to align with Visma's growth aspirations.

The research phase began by conducting interviews with hiring managers, approving managers, and HR representatives. Their firsthand experiences and insights were crucial in pinpointing the actual pain points. By meticulously charting the journeys of each user through the need analysis system and crafting empathy maps, a comprehensive understanding of user emotions, motivations, pain points, and desires at every juncture was achieved.

Streamlining related steps, like merging "Why is this position important?" with "Skills," enhanced the user experience. Furthermore, introducing capabilities to auto-fetch details such as names, salaries, and budgets could make the form completion process more efficient. It was also valuable to replace coded language with intuitive terms. For example, opting for percentages instead of binary choices and offering inline help for budget-related questions. Making the form more user-friendly by elucidating how to use the provided information and guiding users on where to obtain additional details was deemed crucial.
Both low fidelity and high fidelity prototypes were developed to bring the ideas to life. Iterative user testing facilitated the refinement of the concepts based on genuine user feedback.

Problem
In 2019, Visma's larger organizations processed nearly 500 need analysis entries. Designed to streamline their hiring pipeline, full-time employee (FTE) oversight, and budget reviews. Managers depended on these analyses to determine hiring objectives, pinpoint desired candidate qualifications, and outline role expectations.
I really like that many choices are pre-filled in the prototype form[...], it would save me a lot of time!
